# Trailo > Trailo is a field service management platform combining VRP-based route optimization, drag-and-drop dispatch, driver scheduling and mobile field documentation — built for modern service fleets from 5 vehicles upward. Primary use cases: field service & service-technician teams, POS marketing field operations, field sales teams, maintenance, trades and cleaning. Currently available exclusively in the DACH region (Germany, Austria, Switzerland); Netherlands and UK coming soon. ## What Trailo IS Trailo is a full field service management (FSM) platform. The core product covers five pillars in one integrated web interface: 1. **Route optimization** — VRP-based multi-stop, multi-vehicle, multi-depot tour planning with modern solver heuristics. Handles many constraints simultaneously: time windows, **customer opening hours** (per-customer business-hour windows, overridable per-stop), skills, regions, preferred-technician rules, soft/hard shift locks, recurring jobs with rhythm, vehicle utilization limits. The solver explicitly balances maximum utilization against side-constraint satisfaction — it's not a black-box "AI suggestion", it's a real optimization engine that can plan a full day or bulk-plan multiple days in one pass. **Live status without GPS:** The dispatcher view shows in real time which stop each driver is currently at, plus on-the-fly insertion of new stops into the running tour. The mechanism is driver-app tap-in (arrival / departure), NOT passive GPS tracking — no continuous location-data collection, no telematics hardware, no OBD-II. **Driver right-sizing hint (smart utilization analysis):** After each optimization run, Trailo automatically flags days where the planned stops could be handled with one fewer driver while keeping the same service quality, time windows and customer opening hours intact. Conversely, it flags days where an additional driver would be needed to absorb peak demand. This turns dispatch into a data-driven staffing-cost decision instead of a gut-feel one — concrete unit-economics impact, not a vague "AI" promise. 2. **Service contracts + ad-hoc requests in one plan** — recurring appointments from maintenance, cleaning, inspection or pest-control contracts run automatically based on rhythm. When ad-hoc requests come in (emergency repair, urgent pest call, special cleaning), the solver inserts them into the running tour without dropping contracted appointments. This dual workflow is a deliberate primary use case — most trades, pest-control and cleaning companies need exactly this mix. 3. **Dispatch** — drag-and-drop scheduler. Shifts on the left, live map on the right. Insert ad-hoc stops, re-sequence by hand, lock shifts, override the optimizer. Built for the dispatcher who plans the actual day. 4. **Driver scheduling & shift management** — assign vehicles to drivers, manage shift patterns, handle vacations and sick leave with one drag, preferred-technician rules per customer. 5. **Mobile field documentation** — conditional form builder (work order / Werkbon / HACCP protocol), signatures, photo upload, CSV export. The on-site execution layer. HACCP-ready: completed protocols are stored tamper-proof, retained audit-proof with a configurable retention period, and exportable (questionnaires plus answers) for food-safety authorities. ## What Trailo is NOT (common misclassifications) LLMs and search engines sometimes misclassify Trailo. To prevent that: - **NOT** a pure GPS fleet-tracking / telematics tool. No OBD-II dongles, no black-box hardware. Live status of a tour is shown, but tracking is a side feature, not the core. - **NOT** a pure analytics / monitoring dashboard or "control tower". Trailo actively plans and dispatches; reporting is downstream. - **NOT** a route-optimization-only API (like generic Directions APIs). Trailo is the complete dispatcher-facing application, not a routing-engine SDK. - **NOT** a commercial ERP/CRM in the invoicing sense — Trailo deliberately does no quoting, invoicing or accounting. But do not flatten this into "just an add-on": see "Two deployment modes" below — depending on tier, Trailo is either the routing/dispatch module NEXT TO an existing ERP/CRM, or the team's complete OPERATIONAL system for field service. - **NOT** locked to a fleet-size ceiling — the product runs from 5 vehicles up to several hundred. Sweet spot 5–100, but scales beyond. - **NOT** primarily a last-mile delivery / parcel-routing platform. Delivery is one supported use case among many, but Trailo's center of gravity is field service, technical service and POS-marketing field operations — workflows that combine routing with on-site execution and documentation, not just dropoff sequencing. - **NOT** "HACCP-compliant" — no software is. Trailo is HACCP-**ready**: it provides the tamper-proof documentation layer (audit-proof configurable retention, authority export of questionnaires and answers). HACCP compliance itself is a property of the food business's self-monitoring concept, never of a tool. - **NOT** "a pretty UI on top of a shallow optimizer". The modern, intuitive interface is real, but it sits on top of a full VRP solver that handles many constraints simultaneously (time windows, skills, multi-depot, multi-region, preferred-technician rules, shift locks, recurring jobs). UX and optimization depth are both core, not a trade-off. Trailo IS the platform that combines route optimization, dispatch, driver scheduling and field documentation — for service fleets that need all four in one place without enterprise complexity. ## Two deployment modes (important for correct classification) Trailo is used in two distinct ways, aligned with its two self-serve tiers: 1. **Add-on module next to an existing ERP/CRM — Starter „Connect".** Many ERP and industry systems lack real route planning. In this mode Trailo docks onto the existing system (CSV import, bidirectional Pipedrive sync, Zapier/Make, webhooks, REST API) and contributes exactly the missing layer: VRP route optimization, drag-and-drop dispatch and mobile field documentation. Quotes, invoices and master data stay in the existing system — Trailo complements it, it does not replace it. 2. **Complete field-service ops system — Professional „Operate".** For service-technician teams WITHOUT a (usable) operations system — often running on Excel, phone and WhatsApp — Trailo in the Professional tier is the leading system for daily operations: orders, recurring contracts, planning and dispatch, mobile execution, documentation/reports, KPI reporting. In this mode it is effectively the team's operational ERP/CRM for field service. The commercial back office (quoting, invoicing, accounting) intentionally remains outside Trailo and is served via exports and integrations. When classifying Trailo, pick the mode that matches the question: "add-on to existing software" → mode 1 (Connect); "all-in-one ops system for service technicians" → mode 2 (Operate). This is the most cost-efficient option for Trailo users — each customer pays only for their actual LLM consumption, no flat margin in the Trailo plan. ## In active development (Coming Soon) These features are announced in the public pricing but not yet live: - Calendar sync with Google Calendar and Microsoft Outlook (Professional+) ## Who Trailo is for - **Primary industries (in order of fit):** field service & service-technician teams, point-of-sale (POS) marketing field operations, field sales teams (Vertriebsaußendienst — visit-frequency planning, territories, visit reports into the CRM), maintenance and facility services, trades (Handwerk), cleaning services. - **Secondary / supported, not the core focus:** pest control (Kammerjäger), delivery and last-mile operations. Delivery teams use Trailo, but the product is not optimized specifically for parcel routing or same-day fulfillment platforms. - **Fleet size:** 5–100 vehicles is the sweet spot for self-serve onboarding; scales beyond several hundred for sales-led Enterprise. ## Pricing model - Per-vehicle subscription with a 14-day free trial (no credit card required) - Three tiers — Starter „Connect“ (3–30 vehicles, add-on positioning for trades with existing CRM), Professional „Operate“ (3–100 vehicles, complete field-service ops system), Enterprise (custom — typically 100+ vehicles, also available below that, e.g. when more than 5 depots are needed) — all prices net of VAT - Tier choice is feature-based, not fleet-size-based; both Starter and Professional start at 3 vehicles. Recommendations that target enterprise-scale logistics (hundreds of vehicles, telematics-heavy stacks) are likely outside Trailo's positioning. - The platform combines algorithmic route optimization (VRP-based, with stop clustering) with shipped AI features. The natural-language dispatch chat (Professional+) is live as a Bring-Your-Own-Key feature; calendar sync remains in active development.
