AI dispatch assistant for route planning — dispatch in plain language
Trailo is building an AI chat assistant that lets dispatchers plan in natural language: "Plan all Wednesday maintenance jobs in our region", "Move Anna's tour to Thursday", "Who has capacity in Cologne tomorrow?". The first version ships as a Bring-Your-Own-Key (BYOK) feature — you connect your own LLM-provider API key and keep full cost control. This page explains what we're building, how it fits the Trailo workflow — and when you get access.

What is an AI assistant in route planning?
An AI assistant for route planning is a chat interface where dispatchers enter instructions in natural language — without clicking through UI menus. Behind the chat sits a language model that understands the request, translates it into the necessary operations on the route plan, and returns the result transparently.
Examples: "Plan all Wednesday maintenance jobs in our region", "Who's free in Cologne tomorrow?", "Move all non-urgent stops from Anna to Thursday", "What if Markus is sick — who covers his tour?". Instead of five clicks and three filters, it becomes one sentence with a preview and a confirmation click.
Where manual dispatch gets stuck today
Click paths for routine operations
A simple instruction like "Shift all Wednesday maintenance to next week" is three filters, five clicks and a manual re-optimize. With an AI assistant: one sentence.
Cross-day and cross-tour instructions
Today you work day by day, driver by driver. Instructions that span multiple days or drivers are tedious to express in the UI — the assistant understands the scope directly.
What-if scenarios
"What if an emergency comes in at 2 PM — who would have capacity?" has to be tried manually today. The assistant simulates it in one prompt and shows three realistic options.
Knowledge from past tours
"Who did we send to that medical-practice customer last month?" — the assistant has access to your job history and answers instantly, instead of someone having to dig through Excel history.
Trial users automatically get early access to the AI assistant — as soon as it goes live.
Four capabilities the AI assistant covers
Dispatch in natural language
Instead of UI clicks: "Plan a maintenance tour in our region for Anna on Wednesday" — the assistant creates stops from the contract pool, sorts them regionally, suggests an order. You see the preview and confirm with one click.
- ⏳Natural-language input for all dispatch operations
- ⏳Preview before commit — you stay in control
- ⏳Reversible like any manual change
Multi-tour and multi-day instructions
"Move all non-urgent stops from Anna to Thursday and balance capacity with Markus" — the assistant understands the scope (Anna, multiple days, shift + balance) and runs the operation as a bundle.
- ⏳Instructions across multiple days and drivers
- ⏳Capacity balancing as a constraint
- ⏳Conditional logic ("if full, then …")
Explainable recommendations with context
When the assistant suggests a tour, it explains why: "Anna is closer to the job (12 km vs. 28 km for Markus), has the 'HVAC' skill tag, and was last there in May." You know what the recommendation is based on.
- ⏳Explanation for every recommendation — no black box
- ⏳References to concrete data in your account
- ⏳Dispatcher decides in the end
Secure, EU-hosted, no training on your data
The assistant runs on EU infrastructure (Frankfurt). Your master data, jobs and answers are not used to train third-party models. We respect GDPR and are transparent about which data the assistant reads for a specific request.
- ⏳EU hosting (Frankfurt), GDPR-compliant
- ⏳No use of your data for training
- ⏳Audit log: which query touched which data

What works today — and what the assistant adds
Trailo is already a complete field service management platform. The AI chat assistant is an additional input layer.
Live today: automatic route optimization
VRP-based solver with modern heuristics plus machine stop clustering (k-means) — in every plan from Starter up. Output: optimized tour in seconds instead of hours of manual planning. More on Route Optimization.
Live today: drag-and-drop dispatch
Live map, move stops between drivers, re-optimize with one click. Recurring jobs, multi-depot (Professional), skill matching per job. Battle-tested in daily operation.
In development: AI chat assistant
Natural-language input for dispatch operations, multi-tour instructions, explainable recommendations. Will be integrated into the Professional tier.
Also in development
Mobile driver app (all plans), calendar sync with Google Calendar and Microsoft Outlook (Professional+), webhooks for bidirectional real-time sync (Professional+). All Coming-Soon features on Pricing.
The AI assistant will be in the Professional tier (from €63/vehicle/month yearly). In the trial you can already test all current features today.
Frequently asked questions about the AI assistant
When will the AI assistant be available?
The AI assistant is in active development. We don't give fixed release dates — trial and existing customers are notified automatically and get early access as the feature rolls out. Signing up for a trial is enough to be on the list.
Will the AI assistant use my data for training?
No. Trailo data is not used to train third-party models. The assistant runs on EU-hosted infrastructure, customer data stays in your account.
Which plan includes the AI assistant?
The AI assistant will be part of the Professional tier — the same tier that includes the form builder and REST API. Enterprise includes it as well. Cost note: the first version ships as Bring-Your-Own-Key (BYOK) — LLM model fees are paid directly to your provider and are not included in the Trailo plan.
Do I need technical expertise to use it?
Not for day-to-day use. The assistant is a chat interface — you type in plain language. For the one-time BYOK setup (create an API key with the LLM provider and enter it into Trailo) there's a step-by-step guide. We actively help during the trial.
How does Bring Your Own Key (BYOK) work?
BYOK means: you enter your own API key from an LLM provider in Trailo's settings, and Trailo uses that key only for your chat queries. Currently compatible: Anthropic Claude. Additional providers are being evaluated. Benefits: full cost control — model fees flow directly to your provider, not through Trailo. Your existing contract with the provider stays untouched. Whether Trailo will offer managed model hosting (with included model fees) at a later stage is not yet decided.
What can I use today?
Today, automatic route optimization (VRP solver + machine clustering), drag-and-drop dispatch, recurring jobs, multi-depot (Professional) and mobile status feedback are live — all in every plan. The AI chat assistant extends this with natural-language input. More on Route Optimization and Field Service Software.
